Biochemistry external visitor types

If you are not a day visitor, please contact your Biochemistry host for relevant forms.

If you are planning to use our facilities or equipment, it is essential that before that you contact your Biochemistry supervisor. When necessary, they will contact Biochemistry Admin (using the relevant form) for approval and to allow the workflow process to operate smoothly.


Typical day visitors include seminar speakers and meeting/event attendees. Seminar speakers are arranged by the various seminar series coordinators who will host the individual on the day of their seminar.

Day visitors should primarily be accompanied and advised by a member of the department.


These visitors don’t need official approval unless they require facilities or payment:

If you require facilities or equipment access from the department (e.g. card access, a desk), you will need to be recorded as a visitor to Biochemistry. This will mean minimal administration but does require an online form to be completed by your host as a record. This will also enable the department to provide facilities, not normally afforded to a day visitor. In this case, we will need a Right to Work check as well.


 

Parking in the science area is restricted. Visitors are advised to seek an alternative method of transport.

 

On arrival - Please report to the Main Building Reception. If required, Reception will contact your host.

 

During the visit - You must always be accompanied by your host in the department. We place a very high value on Health & Safety and we will ensure that your visit is a safe one.

Work Experience while at school:

A work experience placement is a great way for school pupils to find out about a potential career path. In Oxfordshire, most schools arrange work experience for their Year 10 or Year 12 Students. They will help you find a one or two-week placement. Sometimes you may have to seek out a placement yourself. If you are interested in work experience in our department, please contact us via workexperience@bioch.ox.ac.uk.

In the e-mail, please include the information regarding laboratory preference and your CV.

  • Your Biochemistry host will send you a form after the department has approved your visit.

Please note that we have to carry out a Right-to-Work check, even for school pupils on work experience, so you will be required to bring in your passport or birth certificate with your National Insurance Number on the first day and go to see the Admin Assistant to have the document checked and copied. If you do not bring in a suitable document, we cannot allow you to stay.

No access or ID cards will be issued.

Visitors will need to be escorted into buildings as required by the departmental host. Please contact Reception to receive a visitor pass for the required time period. Passes need to be worn at all times.

Overseas visitors requirements


Bench Fees 
There are costs associated with hosting visitors such as the provision of space and IT facilities. For this reason, visitor hosts are asked to explore with the prospective longer-term visitor, whether there is funding available to cover these costs. For example, from a research grant.

The applicability and level of bench fees to be charged, by the department, should be discussed with Associate Head in advance of a visitor application being submitted.

Separate payment will be expected from all visitors for large volumes of photocopying or large items of postage.

Overseas visitors requirements


 

It is becoming more common to have various types of student visitors to the department. There are different procedures and support provided depending on the level of student, duration of the visit, and fees paid. Due to changes in immigration law from the Home Office, we only accept student visits that last up to 3 months

You are encouraged to apply with as much notice as possible as the arrangements and approval process may take some time at busy points in the academic year and without all the arrangements in place your visit cannot be approved and commence.

Students visiting for less than one term (i.e. up to three months aligned with a university term) may be admitted to the department as a visiting student (via the normal visitor process) and no fee is charged; this is considered part of the contribution of the department to vitality of the biochemistry community.


The department expects students visiting for longer (6 months or more) to register as Recognised Students. The university limits recognised student status to a stay of up to three terms (i.e. one year). Note in particular recognised student applications are processed via academic admin (so the departmental visitor application form is not required) by submission to the Graduate studies administrator via graduatestudies@bioch.ox.ac.uk. The biochemistry Department cannot offer a visiting student status for any research students wanting to stay longer than 6 months.

The principal difference between a visiting student and a recognised student is the level of services provided, notably in terms of supervision level, which represents a real cost to the department.
